POLICIES & PROCEDURES

To maintain a safe and supportive environment, the following policies will apply:

GENERAL POLICIES

  • Whim W’Him Contemporary Dance Center (WWCDC), Whim W’Him, and its employees are not liable for any injuries or loss of property while in classes or on the premises.
  • We reserve the right to cancel any class due to low attendance or enrollment. Faculty are subject to change.
  • Students more than 10 minutes late will be allowed to take class at the teacher’s discretion. Students more than 15 minutes late will not be allowed to take class.
  • Payment may be made in cash, debit card, Visa, MasterCard, or personal check. Identification may be requested for some payment types.
  • A $30 fee will be applied to returned checks. Checks must have current phone number and address.
  • Any student using a two-payment plan must pay the remaining balance before the second half of remaining sessions begin. Students who have not paid will not be able to participate in class until the balance is paid.
  • Food and drink (except water) are not permitted in studios.
  • Clean street shoes with white or gray soles are permitted in the Annex Studio.
    Shoes worn outside are not permitted in either studios.
  • WWCDC is a smoke-free facility. Smoking is not permitted within 25 feet of the entrance.
  • WWCDC, Whim W’Him, and its employees reserve the right to remove a student from class for disruptive behavior, based on our code of conduct.

Youth/Teen Classes

  • ENROLLMENT: Enrollment for youth classes takes place on a quarterly basis (except for camps, workshops, and intensives). Students are not automatically enrolled for following quarters and will need to register for each quarter (Winter, Spring, Summer, Fall). When a class is full, students may be added to a waitlist. Students may join a class at any point during the quarter and tuition will be prorated. All registration is through our MindBody site. All quarterly enrollment is on a contract-basis.
  • ATTENDANCE: Classes for students 18 and under are session based unless otherwise noted. Tuition covers all classes within the scheduled quarter. Students are expected to attend all classes in a session. If a student misses a class, they are able to make up for the absence. When possible, faculty appreciate advance notice of absences. Please email dancecenter@whimwhim.org to notify us of planned absences.
  • MAKE-UPS: If missing a class, students may make up the class by taking another class for their age group. Make-up classes must be scheduled in advance with WWCDC staff by emailing dancecenter@whimwhim.org. Make-ups must be scheduled 1 week in advance.
  • DROP-IN CLASSES: Youth drop-in classes are uncommon but will operate by the same policy as Adult classes. They are only eligible for refund if canceled 48 hours in advance. Paid single classes canceled within 48 hours will receive a credit to use for another class. Class cards are non refundable. Classes canceled 24 hours in advance will be returned to the class card. Classes canceled within 24 hours are forfeit.
  • DRESS CODE: In an effort to maintain a supportive environment while ensuring safety, WWCDC has guidelines for what to wear in each class. Please refer to our Dress Code in the Code of Conduct for suggestions on what to wear for each class. These guidelines are meant to provide comfortable, accessible options for all dancers. If you have any questions or concerns regarding the guidelines, please email dancecenter@whimwhim.org.
  • LEVEL PLACEMENT: WWCDC strives to provide the best possible environment for each dancer. Students will be placed in classes based on their age, ability, focus, and work ethic. New students may take a trial class for placement based on evaluation by faculty members. If you have questions about appropriate classes for a trial or about placement, please email dancecenter@whimwhim.org.
  • CLASS CANCELLATION/CONSOLIDATION: WWCDC reserves the right to cancel classes due to low enrollment. Classes may also be consolidated with other classes of similar age/level/genre to continue a class with an appropriate class size. In the event of class cancellation, we will make every effort to find a suitable, convenient class for the student to move into. If a schedule change is not possible for the student, tuition for any remaining classes will be refunded.
  • SHORTENED CLASS: If a class has low attendance, WWCDC and its faculty reserve the right to shorten the length of class to a length appropriate for the number of students attending. Faculty will use discretion to shorten a class to provide training that is beneficial to the dancer but also safe and enjoyable for them.
  • WITHDRAWAL: Withdrawal from youth/teen classes is processed monthly. To withdraw and receive a refund, you must email dancecenter@whimwhim.org, by the 23rd of the month. You will receive a prorated refund for the remainder of the term after the first of the following month.

Examples:

  1. You decide to withdraw from the Winter Quarter on January 20th, 2024.
    You send your email on 1/20/24.
    You will receive a refund for classes after February 1st through the end of the quarter.
  2. You decide to withdraw from the Winter Quarter on January 20th, 2024.
    You send your email on 1/27/24.
    You will receive a refund for classes after March 1st through the end of the quarter.
  • OBSERVING CLASS: Family and friends of participating students are invited to watch classes during Watch Week. Other than specified dates, only dancers registered for class are permitted in the studio.
  • RESTROOM USE: We ask that dancers 5 and under be taken to the restroom before their class to minimize the number of bathroom breaks taken during class. If a dancer is still in diapers, a caretaker must be on site during the entire class time for any needed changes.
  • PICK UP/DROP OFF: Dancers must be dropped off with enough time to prepare for class, including changing, using the restroom, etc. Students must leave the building with a responsible adult unless an exit release form is on file. The form is available here. Dancers age 7 & under must be picked up at the door to their class studio at the end of class by a parent or authorized adult. Please notify WWCDC teachers/staff if someone different will be picking your child up by emailing dancecenter@whimwhim.org. If you are more than 10 minutes late to pick up your child, WWCDC reserves the right to charge a late pick up fee of $15.
  • WWCDC STUDENT FORM: All students must complete this form when creating their MindBody account. It includes information on our cancellation/refund policies, a media release, liability release/consent form, and emergency contact, among other important information.

ADULT CLASSES (17+)

  • ENROLLMENT: Adult classes enroll primarily on a drop-in basis (except for Authentic Movement, special sessions, workshops, and intensives). Participants may purchase single classes or class cards. Payment is due prior to the start of any class.
  • CLIENT CANCELLATION:  Drop-in classes are only eligible for refund if canceled 24 hours in advance. Classes canceled within 24 hours are forfeit. Class card purchases are non-refundable. Classes canceled 24 hours in advance will be returned to your account. Classes reserved with a class card canceled within 24 hours are forfeited.
  • CLASS CARDS: Class cards may not be used for session-based classes, workshops, or intensives. They cannot be shared or transferred. Class cards expire 3 months after the date of purchase.
  • MAKE UP CLASSES: Make-ups are not offered for missed drop-in classes or class cards.
  • PLACEMENT: Dancers in adult classes are responsible for choosing levels appropriate for their abilities. Dancers may contact WWCDC for a recommendation by emailing dancecenter@whimwhim.org and may ask faculty for recommendations in person.
  • DRESS CODE: Dancers in adult classes should wear comfortable clothing that provides for ample range of movement. Appropriate footwear is required for all classes. You can find more information regarding guidelines in our Code of Conduct.
  • CLASS CANCELLATION/CONSOLIDATION: WWCDC reserves the right to cancel classes due to low enrollment. CLOSURES

  • Whim W’Him Contemporary Dance Center will close due to inclement weather when Seattle Public Schools are closed.
  • In the event of localized weather conditions in Queen Anne or weather that develops after school hours or on weekends, WWCDC will make an independent decision to maintain the safety of our students, staff, faculty, and facility.
  • In the event of inclement weather or conditions, students and families will also receive emailed notifications and should check our social media channels for necessary updates.
